Automation freelancer or agency: which should you choose?

Neither is always better. The right choice depends on the size of the job, how much risk you carry and who will look after the system afterwards.

When a freelancer fits

A good freelancer suits a clear job with one main process. You work directly with the person building it, decisions are quick and overheads are lower.

The risks are availability and continuity. If that person gets ill or moves on, you need to be able to carry on. That is why documentation and ownership matter so much.

When an agency fits

An agency suits larger programmes that need several skills at once: project management, security, data and change management. You also get cover if someone leaves.

You pay for that structure, and the person selling the project may not be the person building it. Ask to meet the actual team.

When to build it in-house

If automation is core to how you compete, and you have enough work to keep someone busy, hiring makes sense. A contractor can still help you start, and can train your new hire with a proper handover.

A quick way to decide

Ask yourself:

  • Is this one process, or many? One points to a freelancer, many to an agency.
  • What happens if it fails for a day? The higher the cost, the more review you need.
  • Who will own it next year? If nobody can, plan for maintenance from the start.

What matters whichever you choose

Own your accounts, get the documentation, and pay against milestones. Aphelore exists to give you a freelancer's directness with more of an agency's safety: checked builders, held payments and a required handover. If your project needs a large team, we will tell you.

Questions

Is a freelancer cheaper than an agency?

Often, but compare what is included. Cheap work with no documentation can cost more over time than a higher quote with a proper handover.

Can a freelancer handle sensitive data?

Yes, with the right setup: accounts you control, limited access and a data processing agreement. Those matter more than the size of the supplier.
